  • Report & Resource Downloads: When you download gated content (reports, whitepapers, guides), we collect your name, email, company, industry, and job role to deliver the resource and track download analytics.
  • Payment Information: If you subscribe to premium features, we collect payment information (processed securely through Stripe). We do not store full credit card details on our servers.
  • Communications: We collect information from emails, support tickets, and any other direct communication you send us.

  • Review or assessment submissions with your personal identification

  • Any profile information you create in our partner portal or user account

4. How We Use Your Information

Lead Sharing with Directory Partners

When you submit a tool on our platform (Partner Selection Tool, Partner Assessment Tool), download a gated resource, or fill out a contact form AND provide explicit consent via a checkbox to share your information with directory partners, your contact information may be shared with one or more matching Dynamics 365 implementation partners listed in our directory.

  • What Information Is Shared: Your contact details (name, email, company, location) and the context of your inquiry (e.g., project type, tool results summary) are shared with matched partners so they can provide relevant follow-up.
  • Consent Requirement: Lead sharing only occurs when you have given explicit consent via a checkbox on the form. You will always see a clear disclosure before your information is shared.
  • Withdrawal of Consent: You may withdraw consent at any time by contacting privacy@topdynamicspartners.com. We will cease sharing your information with partners going forward, though information already shared cannot be recalled.
  • Partner Responsibilities: Partners who receive leads are independent entities bound by their own privacy policies and are expected to handle your information responsibly. Top Dynamics Partners is not responsible for how partners use your information after it is shared.
  • Lead Record Retention: Top Dynamics Partners retains lead records (including consent records) for up to 36 months for audit and quality assurance purposes.

6. Data Retention

We retain personal information for as long as necessary to fulfill the purposes for which it was collected:

  • Account Data: While your account is active, and for a reasonable period afterward to comply with legal obligations or resolve disputes.
  • Contact Form Submissions: Retained for 2 years to respond to follow-up inquiries or for historical reference.
  • Payment & Billing Records: Retained for 7 years to comply with Canadian tax and accounting requirements.
  • Analytics & Log Data: Retained for up to 1 year; older data is aggregated or deleted.
  • Review Submissions: Retained indefinitely on the partner listing to maintain a historical record (you may request deletion).
  • Marketing Communications: You may unsubscribe at any time; we retain your email on a suppression list to honor your preferences.

When data is no longer needed, we delete or anonymize it in a secure manner. Some data may be retained longer if required by law or to resolve disputes.

7. Your Rights Under Canadian Privacy Law

As a user in Canada, you have rights under the Personal Information Protection and Electronic Documents Act (PIPEDA) and, if you are a BC resident, under the Personal Information Protection Act (PIPA). These rights include:
